Information about handling enquiries, using data and your rights.
We use your details to handle your enquiry, not to sign you up for advertising. The completed form initially stays in your browser. You send the message to us from your email application.
Back to your enquiry →01 / Data controller
The controller of personal data when handling enquiries is RUKO OSEK s.r.o., Company ID 28209923, 267 62 Osek, Czech Republic. For questions about data processing or to exercise your rights, please contact us at ruko@ruko-osek.cz or by phone on +420 608 868 848. Contact person: Mr Rambouský.
This policy applies to this website and communication when handling enquiries. Processing for any subsequent order is also governed by its purpose and the applicable legal obligations.
02 / What data we process
For enquiries, we process the information you provide: in particular your full name, email address, and, where supplied, phone number, company name, message content and data in attachments. Product specifications, quantity, finish and delivery requirements are processed in connection with your project.
To prepare an enquiry, the form requires your name, email address, service area and project description. Other fields are optional. Providing data is voluntary; however, without the necessary contact details or description, we may be unable to handle the enquiry. Do not send data or confidential documents that are not needed to assess the project.
03 / How the form works
The form only prepares an email draft in your browser. It does not create a server-side enquiry database or store its contents in cookies or the website’s local storage. Clicking “Open in email” passes the draft to your email application. You send the email from there; its contents only reach us on delivery. Attachments are also added in your email application.
“Copy text” copies the text to your device’s clipboard and sends nothing. Any automatically saved drafts or form-filling history are managed by your browser or email provider according to their settings.
04 / Why we process data
- Handling your enquiry and preparing a contract: where you are the prospective contracting party, these are steps taken at your request before entering into a contract under Article 6(1)(b) GDPR.
- Communicating with a company representative or responding to another query: we process the necessary contact details based on our legitimate interest in business communication and responding to your request under Article 6(1)(f) GDPR.
- Subsequent performance and legal obligations: if an order is placed or related records must be retained, processing is based on the contract or the applicable legal obligation under Article 6(1)(b) or (c) GDPR. Documents necessary to defend legal claims may be retained on the basis of a legitimate interest under Article 6(1)(f) GDPR.
The checkbox next to the form confirms that you have read this policy. It is neither consent to advertising nor a separate legal basis for handling the enquiry. Completing the form or ticking the box does not subscribe you to commercial communications.
05 / How long we retain data
We retain enquiry data while handling the enquiry and related communication. Once discussions have ended, we retain only data needed to meet a specific legal obligation or protect legal claims. In such cases, the retention period depends on the type of document, its statutory retention period and the period during which the relevant claim may be brought or resolved. Data should be deleted once that reason no longer applies.
The website itself does not retain a copy of your completed enquiry on the server. The technical cookie that remembers settings lasts for no more than six months after you save your choice; details are available on the page Cookies and settings.
06 / Who may access the data
To the extent necessary, data may be processed by people authorised to handle your enquiry and providers of technical services, particularly company email, hosting and IT administration. In a subsequent contractual relationship, accountants or legal advisers may also be involved where needed. Data may be disclosed to public authorities where required by law. You can request specific information about recipients using the controller’s contact email.
The website does not load analytics or advertising services, embedded maps, social networks or external fonts. It therefore does not disclose form data to third parties in this way. When sending an email, however, the terms of your email service and the recipient’s company email service apply. The controller can provide information via the contact email about the location of data and any transfers outside the European Economic Area in connection with hosting and company email.
07 / Technical operation of the website
During normal access to the website, the hosting service may process your IP address, request time, the requested page address and browser technical details in operational and security logs. The purpose is to deliver pages, resolve errors and protect the website; the legal basis is the legitimate interest in its secure operation. The precise scope and retention period of these logs depend on the hosting configuration, not the enquiry form. The controller can provide further information.
This website does not carry out profiling or automated decision-making with legal or similarly significant effects. Automatically preparing the enquiry text is not an assessment of you as an individual.
08 / Your rights
Subject to the conditions of the GDPR, you have the right to request access to your personal data, rectification or erasure, restriction of processing and, in the cases specified in the GDPR, data portability. You may object to processing based on a legitimate interest on grounds relating to your particular situation. If any other processing is based on your consent, you may withdraw it at any time; this does not affect the lawfulness of prior processing.
You can send a request to ruko@ruko-osek.cz. Where there are reasonable doubts about identity, we may request necessary additional information. We respond without undue delay, usually within one month; we will notify you of any extension and its reason in accordance with the GDPR.
You have the right to lodge a complaint with the Czech Office for Personal Data Protection, Pplk. Sochora 27, 170 00 Prague 7, Czech Republic. You do not have to contact us first before lodging a complaint.
09 / Cookies and changing settings
We do not use analytics or marketing cookies. At your request, only a technical cookie may be saved to remember the settings of this information banner. You can browse the website without it. Full details, including the name, purpose, provider and lifetime, are available on the page Cookies and settings. Settings are also available in the footer of every page.
